Who we are

RJ Energy Electrical Solutions is a sole trader electrical contractor based in Birmingham, run by Ryan Jones, working across Birmingham and the West Midlands. For the purposes of UK data protection law we are the "data controller" for the information described on this page, which simply means we decide what is collected and why.

This policy covers this website, www.rjenergyelectricalsolutions.co.uk, and the enquiries that come through it.

What we collect

We only ask for what we need to quote for a job and carry it out. In practice that is:

• Enquiry form details. Your first name, last name, phone number, and optionally your email address, the service you are interested in and whatever you write in the message box.
• Contact you start yourself. If you call, text, WhatsApp or email us, we hold that conversation and your number or email address alongside it.
• Job and site information. Once you go ahead, the address of the property, access notes, details of the installation, photographs of the work, and the certificates and test results we are required to produce.
• Payment and invoicing details. The name and address a quote or invoice is made out to, and the reference against a bank transfer. We do not see or store card numbers.
• Website analytics. Anonymous usage data through Google Analytics, such as which pages were viewed, roughly which part of the country the visit came from, and whether someone tapped the call or WhatsApp button. This is not linked to your name.

Why we use it, and our lawful basis

UK GDPR requires us to have a lawful basis for using your information. Ours are straightforward:

• To answer your enquiry and give you a price. Basis: taking steps at your request before entering a contract.
• To carry out the work, arrange access and invoice you. Basis: performance of our contract with you.
• To issue and register electrical certificates, and to notify work under Part P where required. Basis: legal obligation, and our NAPIT and TrustMark registration requirements.
• To keep records for insurance, warranty and tax purposes. Basis: legal obligation, and our legitimate interest in defending our work.
• To improve the website and see which pages bring in enquiries. Basis: our legitimate interest in running the business efficiently, using data that does not identify you.

We do not buy contact lists, we do not sell your details to anybody, and we do not add you to a marketing mailing list off the back of an enquiry.

Who else sees it

Your information is handled by a small number of suppliers who work on our instructions:

• Construction Sites build and host this website and receive the enquiry form submissions before passing them to us by email. They act as our processor and may not use your details for anything else.
• Google provide the analytics on this website, and our Google Business Profile, where the review strip on the homepage pulls publicly posted reviews.
• WhatsApp, part of Meta, if you choose to message us that way. Their own terms apply to that conversation.
• NAPIT where a certificate has to be registered, and your local building control body where work is notifiable.
• Our accountant and our insurer, where a record, a claim or a tax return requires it.

We will also disclose information if the law requires it, for example a court order or a legitimate request from a regulator. Beyond that, nobody else gets it.

Cookies and analytics

This website does not use advertising cookies, tracking pixels or profiling of any kind. The only cookies set are Google Analytics cookies, which count visits and tell us which pages people actually read.

If you would rather not be counted, you can block cookies in your browser settings, use private browsing, or install the Google Analytics opt-out add-on. Nothing on this site stops working if you do.

How long we keep it

We do not keep things indefinitely for the sake of it:

• Enquiries that do not turn into work: up to 12 months, then deleted.
• Customer and job records, including invoices: six years after the end of the tax year the work was done in, which is what HMRC requires.
• Electrical certificates and test results: retained for the life of the installation record, because you or a future owner may need a copy, and because our scheme provider requires it.
• Photographs of completed work: kept while they are useful as examples. We never publish a photograph that identifies you or shows your address, and if you ask us to take one down we will.
• Analytics data: retained by Google on a rolling basis and never linked to a named person.

Keeping it secure

Enquiries are submitted over an encrypted connection and reach us by email. Phones and laptops used for the business are passcode protected. Access is limited to Ryan and to the suppliers listed above, each of whom is bound by their own contract and by data protection law.

No system is perfect. If a breach ever happened that put your rights at risk, we would tell you and report it to the Information Commissioner within 72 hours, as the law requires.

Your rights

You have the right to ask for a copy of what we hold, to have mistakes corrected, to have information deleted, to restrict or object to how we use it, and to receive it in a portable format. The GDPR and your data rights page sets out each right in full and explains how to make a request.

Requests are free and we will respond within one month. If you are not happy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Children and third party links

Our services are aimed at adults and we do not knowingly collect information about children. Pages on this site link out to organisations such as NAPIT, TrustMark and Ohme. Once you follow one of those links you are on their website and their privacy policy applies, not ours.

Changes to this policy

If we change how we handle information, we will update this page and change the date at the top. This version was published on 28 August 2026.
